Positions Available

Guest Services Front Desk Agent

We are currently hiring for a Full or Part-time position, working as part of our awesome Guest Services Team on the Front Desk!

Painted Boat Resort Spa & Marina is a unique, boutique style property, where a Guest Service Agent must be a multi-functional individual who is driven to always exceed our guests’ expectations with attention for detail. The individual possesses strong interpersonal skills and a positive attitude towards their work and their fellow colleagues, handling extreme pressure situations as they occur. Computer and word processing are necessary along with decision-making and problem solving skills.

Responsibilities:

  • Process guest arrivals & departures on a daily basis according to service standard procedures
  • Coordinate all room assignments and adjust accordingly as needed, based on maintenance or housekeeping status (ie. room blocks, ready status)
  • Assist with all guest concerns and inquiries
  • Coordinate group check-ins and departures
  • Monitor email and voicemail daily and respond accordingly in a prompt and efficient manner
  • Answer all calls into the resorts main line and redirect as requested, ensuring to follow all standard procedures as pertained to guest & employee privacy
  • Accept & make all reservation requests and offer detailed information to guests as needed
  • Understand and know how to make all types of reservations (ie. standard, owner, fits, group, comp, gift certificates)
  • Respond to all booking inquiries
  • Process payments accordingly; deposits, departures, boutique purchases, equipment rentals
  • Safe cash handling procedures; reconciling cash & all transactions at the end of each shift
  • Assist at marina with guests arriving by boat, needing assistance with baggage and docking
  • Maintains the cleanliness and neatness of the resort reception area
  • Completes and submits maintenance requests
  • Daily opening and closing procedures of the office
  • Process gift certificate requests following the standard procedures
  • Securing resort and pool area end of evening shift
  • Performing night audit procedures
  • Offer baggage assistance when needed
  • Complete additional tasks assigned
  • Assist other departments as needed

Knowledge, Skills & Abilities

  • Complete knowledge of the resort and its’ services/facilities including operation of certain specific equipment (ie. home theater system, fireplace, washer/dryer)
  • Understand procedures for sending guests out on recreation equipment (ie. kayaks, paddleboards)
  • Have knowledge of immediate and surrounding area (ie. activities, dining, accommodations, ferry information, directions) to enable assisting guests with recommendations
  • Keep & maintain a clean and organized workspace
  • Exude a professional and positive attitude at all times
  • Aware of all current season rates as well as packages offered and the details
  • Excellent communication skills
  • Efficient administration skills
  • Understands resorts’ pms system and how to carry out the basic daily tasks (ie. reservations, reports, room assignments)
  • Familiar with all room types, locations, features, limitations
  • Knows how to use all front office equipment (ie. computer, key machine, phones, copiers)
  • Maintains proper telephone etiquette at all times
